Research data when leaving

When a researcher leaves their position at Örebro University, as well as starts a new position somewhere else, it is important to take into consideration data, both past and present.

The research who leaves is recommended to check the ‘on-boarding’ procedures at the new employer to make sure the data are handled accordingly.

Relevant questions for off-boarding are:

  • Who will need access?
  • Is the data usable for the future?
  • Are there legal considerations?
  • Are there ethical considerations?

Below you will find important information and steps to ensure the preservation, reusability, and legal use of research data. These steps can be taken retroactively. Questions and assistance can be directed at your faculties’ research data advisor.

Identify projects containing research data you are responsible for. Identify data/projects you have created during your time at Örebro University that are not yet properly archived. This can also be data you have been given responsibility for. You can take support from the research database or the research administrator.

Identify data and project material for potential deletion. Are there data within these projects that no longer need to be saved? Some material collected during a project is not suitable for long term retentionn, under GDPR laws. Confirm that the related documents are in Public 360. Project documents, such as funding applications and approvals, ethical applications and approvals, project plans, published papers should all be registered in public 360 under the same project case number. Contact your research administrator for assistance in this.

An information classification should be done on all research data at the universtiy. This will help to garuntee that data is handled and stored with the right protection given it's classification.
