Erasmus+ short traineeship grant

With the Erasmus+ traineeship grant you have the possibility to collect data for your master's thesis somewhere in Europe - and receive a grant while you do it!

Erasmus+ short-term traineeship grant is more than just a traineeship grant. With the grant, you have the opportunity to collect data to your thesis in a European country for 5–30 days. The traineeship must include a virtual component organized by the host organization and have clear learning objectives and outcomes.

To be eligible for the Erasmus+ grant, the following conditions must be met:

  • If you are conducting data collection, there must be an academic reason for traveling to your host country/host organization. For example, your research question may relate to how certain matters function in the host country compared to Sweden.
  • You must be registered on a thesis course at Örebro University at the time of your mobility.
  • You cannot receive other funding from the EU or the Swedish Council for Higher Education (UHR) for the same activity.
  • You are responsible for arranging your data collection at an organization in a country or region approved by the European Union. Placement at EU institutions, EU bodies, or organizations managing EU programs within the framework of Erasmus traineeships are not permitted, in order to avoid possible conflicts of interest and/or double funding. Placements at higher education institutions that are primarily funded by EU funds are also not allowed.
  • Your data collection plan must be approved by the person responsible at your department. The activity must be carried out within the framework of a course syllabus and be credit-bearing.
  • You must carry out the entire activity at the same company/organization.
  • The traineeship or studies must include a physical mobility period in the host country lasting 5–30 days.
  • The traineeship or studies must also include a virtual component organized by the host organization, with clear learning objectives and outcomes. The length of the virtual component is flexible and can be carried out before, during, or after the mobility period.
  • The entire mobility must correspond to at least 3 ECTS credits and be recognized by Örebro University.


If you are awarded the grant, before your activity you must:

  • Submit a fully completed and signed scholarship contract, Grant Agreement for Erasmus+.
  • Before your mobility, you will receive access to a language test (Online Language Assessment test) to assess your language proficiency, as well as access to a language portal with digital course modules. This is optional but recommended.

If you are awarded the grant, after completing your activity but before you can receive your second payment, you must:

  • Complete an electronic survey, the Erasmus Participant Report.
  • Submit your Certificate of Attendance to the International Office.
     
     
     

The Erasmus+ grant is a supplementary grant intended to cover the additional costs during your activity, for example travel and accommodation.

The grant is based on the number of days you carry out your studies on site in the host country, as well as, if applicable, one travel day before and one travel day after the mobility period. Travel days that coincide with the first or last day of studies are not counted as travel days, and travel days are not included in the minimum required number of days (5 days). The grant is only awarded for the physical mobility period.

  • EUR 79 per day up to and including day 14.
  • EUR 56 per day from day 15 onwards (up to a maximum of 30 days).

Travel grant**

In addition to the regular grant amount, a one-time travel grant is also provided. The amount of the travel grant is determined based on the distance between Örebro University and the receiving organization, in accordance with the distance calculator of the European Commission.

**The amounts are determined by the Swedish Council for Higher Education (UHR).

You may receive an additional travel grant of 200€ if the majority of your round trip is made using sustainable means of transport, such as train, bus, bicycle, or carpooling. To qualify for the carpooling grant, there must be at least two people in the car; however, family members or friends who are only accompanying you to or from your host university do not count.

To calculate the distance between the place of departure and the location where the physical mobility takes place, the European Commission’s Distance Calculator tool is used.

If you are awarded the grant, you must submit your tickets/receipts to the International Office after your exchange in order to receive the payment.

If you are a student with children, you are entitled to an additional grant. You can recieve 100€ if you are away 1-14 days and 150€ if you are away 15-30 days. You may apply for this grant regardless of whether your child accompanies you on the mobility or not.

Even if you have both children and a documented disability, you can only receive one additional scholarship for one of these.

If you have a documented permanent or long-term disability, including disability caused by physical or mental illness, you may be eligible for an additional grant.

  • Short mixed mobility (5-30 days):
    Top-up of 100€ for mobilities of 5-14 days and 150€ for mobilities of 15-30 days

You apply for the top-up when you apply for the Erasmus scholarship and also upload your NAIS decision confirming that you have a documented permanent or long-term disability. If you need a NAIS decision, please contact FUNKA at funka@oru.se.

Even if you have both children and a documented disability, you can only receive one additional scholarship for one of these.

Inclusion support for actual additional costs
In addition to the additional contribution described in the paragraph above, you may apply for inclusion support for actual additional costs if they exceed the additional grant you have been granted. The inclusion support aims to cover the additional financial costs that participants with physical, neuropsychiatric or cognitive disabilities may encounter during their mobility.

The application can be submitted at any point between August 1 and May 31 and has to be submitted to the International Office at exchange@oru.se at least 6 weeks before your activity. 

If you are planning on collecting data for your thesis, you need to know if you are going to write your thesis alone or with a classmate. Sometimes you need to find a supervisor and sometimes you'll be handed one, depending on which programme you are studying. 

Present your idea for the thesis for your supervisor. Remember that to eb eligible for the grant, there has to be an academic reason to do the data collection abroad. 

When your supervisor has approved your idea, you can contact different organisations or companies where you would like to collect the data to see if they can host you. The organisation that hosts you also needs to provide a supervisor for your mobility period. If the organisation approves of this and your supervisor at Örebro University has approved this, you can move forward with the Erasmus+ application.

You scan the signed application to exchange@oru.se when all three parties have signed your application.

The Erasmus+ grant is paid in two payments. Before your mobility, you will receive a first payment of 70% of the total grant amount. The second payment, the remaining 30%, is paid after your mobility once you have:

  • Submitted your Certificate of Attendance confirming that you have completed your mobility.
  • Completed the survey “Erasmus Participant Report” sent to your email.
  • It takes at least three weeks from the time you submit the documents above before the payment is made to your bank account. Both payments will be made in euros.

As a student at Örebro University, you are insured by Student OUT insurance during your thesis collection.
