Information and checklist to doctoral students and their supervisors in preparation for doctoral theses, date announcement and defence

This information is intended to help doctoral students and their supervisors with the preparation of thesis production, announcement of the public defence of the thesis, and the public defence itself.

Rules and guidelines

It is important that the supervisor reads up on the guidelines and is aware of the rules that surround the public defence. Please see the following documents:

Planning for public defence

Planning of the public defence should begin six months before the defence date. With regard to quality review prior to the defence, the Faculty of Business, Sciences and Engineering stipulates that a final seminar should be held for all planned doctoral theses no later than approximately three to six months before the expected defence date. Normally, an external reviewer should be engaged.

Rules and regulations for the public defence

When the doctoral candidate and the supervisor have agreed on a date for the public defence, it is important that the supervisor reads through and familiarises themselves with the applicable regulations for a public defence. See the links above.

Date and time

Once you have agreed on the desired date and time for the dissertation, the supervisor informs the study and research administration, so that we can check whether the requested time slot is available for booking.

The study and research administration books a lecture hall and a meeting room. According to the ”Riktlinjer gällande lokaler och förtäring i samband med aktiviteter inom utbildning på forskarnivå” (ORU 1.2.1-05380/2016 only in Swedish), this will be in Örebro University’s own facilities.

Remunerations to faculty examiner and the examining committe

The school will pay a remuneration to the faculty examiner and also cover travel and accommodation costs for the faculty examiner and for the members of the examining committee.

Refreshments in connection with the dissertation

According to the ”Riktlinjer gällande lokaler och förtäring i samband med aktiviteter inom utbildning på forskarnivå” (ORU 1.2.1-05380/2016 only in Swedish), the department covers the cost of coffee/refreshments, and lunch for those who have an official role in the dissertation. Please note that the doctoral student may not participate in the lunch if the dissertation is scheduled for the afternoon. Furthermore, in accordance with the guidelines, the department covers the cost of a reception held in connection with the thesis posting (spikning).

Proposal and notification of dissertation

As the principal supervisor, you are to submit documentation for the head of department’s proposal regarding the dissertation. See the instructions on the following page.

After the decision on the dissertation has been made

The study and research administration sends an email to the opponent, the examining committee including substitutes, and the chair of the dissertation (with a copy to the principal supervisor) containing practical information prior to and in connection with the dissertation.

Announcement of public defence of thesis  (Spikningsceremoni)

A thesis announcing ceremony is held at Måltidens Hus, Campus Grythyttan. At this ceremony, the time and place of the dissertation are announced and the thesis is made available to the public. The announcement ceremony must be held no later than three weeks before the dissertation.

The thesis is also posted electronically, meaning that it is made available online. Questions should preferably be directed to epublicering@oru.se.

Thesis production

Production of the thesis

No later than 13 weeks before the dissertation, the doctoral student contacts Repro at Örebro University regarding the production of the thesis by completing the web form “Formulär för tidsplan”.
Thesis series: Örebro Studies in Culinary Arts and Meal Science;
Subject area: Måltidskunskap / Culinary Arts and Meal Science.

It includes basic guidance on the workflow, structure, submission, print run, etc. There are also sample files with the recommended layout and design. Well-considered design helps the content stand out.

Language review

The thesis summary (kappa) should undergo language review.

Plagiarism check of the thesis summary

The thesis summary must undergo a plagiarism check.

Printing of the thesis

Örebro University covers the cost of printing 57 copies of the thesis. A certain number of copies for the examining committee and the chair (including one spiral-bound copy for the opponent) are allocated to the department. A number of copies are also allocated centrally by the university and are used for distribution to the National Library of Sweden, all university libraries, and internally within Örebro University.

Any remaining copies (after the dissertation) may be kept by the doctoral student. Printing is (in most cases) handled by Örebro University’s print service, Repro.

Distribution of the thesis

The study and research administration sends the thesis to the opponent (one spiral-bound copy), the members of the examining committee, and the chair of the dissertation. The doctoral student distributes the thesis to relevant persons within the department and to other contacts. The doctoral student may order additional copies at their own expense. It is significantly cheaper to do so in connection with the initial print run than to place a new order at a later date.

Presentation materials

If PowerPoint is to be used at the dissertation, a presentation template with Örebro University’s logo must be used. You can download the presentation template here (the link leads to ORU’s intranet Inforum, where you log in using your ORU account).

Press release

As a doctoral student, you may be contacted by a research communications officer from ORU who wishes to write a press release about your thesis. Not all theses are covered with news articles. If you have any questions, please feel free to contact: nyheter@oru.se.

All courses completed before applying for degree certificate

In order to receive your degree certificate after the dissertation, you must also meet the course requirements specified in your general syllabus. For more information, see the page on Degree certificate and conferment ceremony. Complete the form "All courses completed" and send it via e-mail to the study and research administration. 

Degree certificate

After receiving a passing grade at the public defence, the former doctoral student requests their doctoral degree certificate. Further information is found on the web page on degrees. Note that the degree cannot be issued until a formal decision about “All courses completed for Research Education” has been made. If you have questions, please contact examen@oru.se.

Doctoral promotion

Örebro University’s academic celebration is arranged every year in February, to mark the occasion of the University’s inaugurations. It includes doctoral promotions, professorial inaugurations, and award ceremonies. Read more about the academic celebration (only available in Swedish).
